AI Readiness Checklist

Section 1: Microsoft 365 and Copilot

  • We're on a Microsoft 365 licence that includes Copilot, or we know exactly which licence we'd need
  • Our SharePoint and Teams file structures are organised, not just "everything in one shared drive"
  • We know who can currently see what, across SharePoint, Teams, and OneDrive
  • We've tested Copilot with at least one real task, not just the demo

Section 2: Data hygiene and access controls

  • We could say, right now, which sensitive files (HR, financials, client data) are open to more people than they should be
  • We have a process for reviewing file and folder permissions, not just setting them once
  • Old or unused accounts and shared mailboxes are deactivated, not left dormant
  • We know what data an AI tool could access if switched on today, before we switch it on

Section 3: Tooling and licensing

  • We know which AI tools are already in use across the business, officially or not
  • We have a view on what's licensed, what's free-tier, and what's shadow IT
  • Someone owns the decision on which AI tools are approved for company data
  • We're not paying for licences or seats we're not using

Section 4: Governance and compliance

  • We know where our data physically resides, and whether that matters for our contracts or industry
  • Our client and supplier contracts have been checked for AI-related obligations or restrictions
  • We have a written position on acceptable AI use, even if it's one page
  • We understand our obligations under Australian privacy law if AI tools process personal information

Section 5: Team skills and AI literacy

  • Our team has had some structured exposure to AI tools, not just individual experimentation
  • There's a shared understanding of what AI is good at and what it isn't, in our context
  • We have at least one person who could reasonably field "can we use AI for this" questions
  • We've identified one or two real workflows where AI would save time, not just "AI in general"

6-10: Early groundwork needed
Some pieces are in place, but there are real gaps, particularly around who can see what, or how AI tools would be governed. Worth addressing before rolling anything out broadly.

11-15: Close, but not quite
Most of the foundation is solid. A handful of specific gaps are likely holding back the return you'd get from AI. Targeted fixes, not a rebuild.

16-20: Ready to move
Your data, tooling, and governance are in reasonable shape. The next step is identifying the highest-value use cases and rolling out with confidence.
